Google Workspace can support HIPAA workflows when the required BAA, covered services, and appropriate safeguards are in place. Review the specific services, agreements, and controls your team will use for protected health information (PHI).
Google requires customers subject to HIPAA to accept its Business Associate Amendment before using PHI in covered services. Coverage is limited to its HIPAA Included Functionality; third-party applications and add-ons are outside Google’s BAA. See Google’s HIPAA guidance.
For a practice manager or healthcare business associate, the evaluation should produce a short approval record that another administrator can understand.
Start with the account and agreement
Identify the organization account that will hold the information. Do not treat an employee’s personal Google account as interchangeable with the organization’s reviewed Workspace environment.
Ask the administrator to record the BAA acceptance, the organizational account, and who is responsible for maintaining the configuration. Keep that evidence alongside the approved service list. If nobody can find the agreement, resolve that before uploading patient information.

Check services individually
Google lists Gmail, Drive, and other named services in its HIPAA Included Functionality. Use the current list to check each intended feature rather than assuming every tool available through the account has identical coverage.
Build a worksheet around actual work:

An AI feature deserves the same service-specific review as any other tool. Record the feature and the documentation reviewed on the decision date.
Follow information into connected apps
Consider a fictional billing team that receives a spreadsheet through Gmail, saves it in Drive, and uses an add-on to copy rows into a project management system. The review cannot stop at Gmail and Drive. The destination system and the add-on introduce additional handling to evaluate.
Ask where processing occurs, what information leaves Workspace, what permissions the app requests, and what remains after the connection is removed. Review any necessary agreement with that provider separately.

Make configuration review concrete
Use synthetic information to walk through the exact workflow before introducing PHI. Google’s HIPAA implementation guide provides product-specific configuration guidance. Your acceptance exercise can include:
- Delivery: Sample attachment and intended recipient experience
- Sharing: Test folder access from an unrelated account
- Revocation: Removed collaborator and verified access cutoff
- Activity evidence: Records an administrator can use during an investigation
- Recovery: Authorized person able to retrieve unavailable records

Decide what an additional tool would solve
Do not buy an add-on simply because a page says healthcare organizations need one. First identify the missing capability in your reviewed workflow: recipient experience, access review, retention, investigation, or something else. Then compare the proposed tool against that requirement, including its own handling of PHI.
If the larger problem is coordinating work across separate mail, file, document, and chat systems, evaluate that operating burden too. Record which steps require another tool or administrator. Bring those findings and your acceptance results to the workspace evaluation so the comparison addresses a specific problem.
